GDHS Meeting Minutes                                                            November 20, 2003

-7PM Board of Directors Meeting.

-President Ronald Botterbusch introduced Mr. Richard Banz who was our speaker                      for the evening. Mr. Banz is the Curator of the York Heritage Trust. He spoke about the importance of the Archives and how to collect and preserve donated items. The Society wishes to thank Mr. Banz for attending and sharing his knowledge with us.

-Before the regular meeting President Ron presented Dr. Drawbaugh a cane that was found at the Spahr Springhouse/Distillery. (Dr. Drawbaugh has a collection of canes).

-Secretary Susan Forrey then presented President Ron with the Incorporation papers for the Society. The Secretary of the State of Pennsylvania signed the Incorporation papers on September 10, 2003.

-The Secretary read the October meeting minutes. Joyce Law and Jan Eisenhart approved the minutes.

-Robert Merkert gave the Treasurers report. The balance to date is $3523.21. Jan Eisenhart and Kay Stitley approved the report.

-Dr. Drawbaugh, our Archivist, introduced Jean Myers wife of Richard Myers to the attending members. Jean donated Richards’s collection of papers that he prepared while living in the Dover area. (A Biographical Sketch appears on the website under the Our Town Characters heading).  Gayle Heagy, assistant Archivist, reported that the Archive Index is ready to be entered onto the website.

-Brett Pfleiger, our website person stated that he has been updating the website with newly submitted photos and printed materials. The front page of the website has changed by adding a picture asking the public for their help in determining what or who is in the picture. Our website is now linked with other search engines such as Google, Dogpile, etc.

-Susan Forrey reported to the attending members that a theft occurred at the Spahr Springhouse/Distillery Building after the Saturday, October 25 work detail. Northern York County Regional Police Department was notified, a police report was filed and leads are being followed up as of this writing. A number of members and residents of Dover are helping the Society and Police with this investigation. If you have any information please contact NYCRPD through 911 or Susan Forrey at 292-6190.

-President Ron read to the attending members Article IV Section IV Election of Directors and Article V Section II Election of Officers from the By-Laws. It was unanimously agreed upon by the attending members at the October 16, 2003 monthly meeting of the GDHS, that the current Directors and Officers would retain their positions till November 2004 elections due to the legal filings for our Incorporation and Non-Profit paperwork. Two other positions needed voted upon, that of Assistant Archivist Gayle Heagy and Joyce Law as our Bookkeeper. The two-position s were accepted and agreed upon by the attending members.   At this November 20, 2003 monthly meeting of the members, it was again unanimously agreed upon by all members in attendance that the elections would not take place until November 2004.

-Motion to adjourn was approved by Bob Merkert and Norma Botterbusch.

-There were 29 members in attendance.

-There is no December 2003 meeting. The next meeting is scheduled for January 15, 2004 at 7pm at the Calvary Church. At that meeting the Board of Directors, Officers, Assistant Archivist and Bookkeeper will be sworn in.
