A Board of Directors Meeting was held at 7:00pm prior to the regular meeting. Board of Directors meetings are held January, March, May, July, September and November.
-President Ron Botterbusch called the meeting to order at 7:30pm. He thanked everyone for attending the re-scheduled meeting. The regularly scheduled meeting of September 18 was rescheduled due to Hurricane Isabel.
-The Secretary read the minutes from the last meeting. Madelyn Shermeyer and Kay Stitley approved them.
-Bob Merkert presented the Treasurers report the balance as of August 10 2003 is $3,659.12. Gayle Heagy and Doris Burger approved the bills to be paid.
-Dr. Drawbaugh stated that Sieglinde Uffelman donated items from Helen Stambaugh (such as the R F Miller wallet and WW II ration stamps). The AARP Chapter of Dover will decide shortly what they want Dr Drawbaugh to do with the AARP papers he is storing. The AARP may decide to donate them to the Society. The Society is also going to receive more things from the Anna Snelbecker Estate. Dr Drawbaugh drew up a Mission statement for the Society. A portion of the Mission statement has been used in the Letters of Incorporation Paperwork for the Society. When Dr Drawbaugh has the final version of the Mission statement, it will be posted on the website.
-Assistant Archivist Gayle Heagy stated that Joyce Law is reviewing and sorting through Anna Snelbeckers donated papers. Joyce and Gayle will be editing and completing the Archive Index to make sure it is user friendly. Doris Burger donated a box of rounded thread spools along with crochet items made from that thread. Susan Forrey, on behalf of the Charlotte Glass Estate, presented the Society with Charlottes Faberge eggs. There were 5 smaller eggs and one goose egg cut 4 times lengthwise, bejeweled and covered with 23-carat gold and upon opening the interior chicken egg is a music box. The Estate donated a number of items too numerous to mention.
-Web report was made by Joyce Law the website is being updated and new information is being entered.
-Norma Botterbusch gave us the final tally for the exhibit we had at the Dover Firemans Carnival. We received a number of donations, new memberships and donated items. We thank everyone who volunteered to help at the exhibit.
-Susan Forrey updated the members concerning the Spahr Springhouse Project the building is in need of support for the winter. Ken Brown and James Shoemaker assessed the building for us. The following is what needs to be done now: The entire building needs to be cleaned out. The floor will then be jacked as much as possible to relieve some of the weight of the building since the summer beam is in disrepair. We will then tarp and cover the front of the building as much as possible for the winter. In the Spring 2004, we will go forward in reserving and restoring the building.
-A Logo for the Society has not been done to date.
-Doris Burger and Norma Botterbusch asked if the Society wanted the quilters to make another quilt. A motion to make, pay and do the quilt project was approved by Madelyn Shermeyer and Dr Drawbaugh.
-Maddie Shermeyer will furnish October refreshments.
