GDHS Meeting Minutes January 15, 2004

-7PM  - Board of Directors Meeting.

Before the regular meeting began the Officers and the Board of Directors for the Society were sworn in by Mayor Justin Jackson.

-730PM – President Ronald Botterbusch called the meeting to order.

-Secretary Susan Forrey read the minutes from the November 20, 2003 meeting. Jan Eisenhart brought to the secretaries attention the attending members approved the Treasurers report not as listed in the minutes. Motion to approve the minutes made by Madelyn Shermeyer and Jan Eisenhart. Attending members agreed.

-Bob Merkert gave the Treasurer’s report. Motion to pay the bills made by Jan Eisenhart and Norma Botterbusch. All members approved. Bob read a letter from the IRS stating they received our application and explained how they would process our form. Per IRS requirements Bob had paperwork necessary for the bank to change our account from a commercial account to a non-profit account. Bob will also request from the bank that the Society would like to receive their bank statement dated the first of the month instead of the tenth.  Bob also informed the members that two resolutions would need voted upon – the first resolution was to add the words INC to the end of the Societies name on the bank record. Motion made by Dr Drawbaugh and Doris Burger. All members agreed on the first resolution. The second resolution concerned the names of the members who were approved to sign checks for the Society - Ron Botterbusch, Susan Forrey and Bob Merkert. Motion made by Joyce Law and Dr Drawbaugh and agreed by all attending members.

-Archivist Report by Dr Drawbaugh – Dr Drawbaugh had two books in his possession and wanted to donate them to the East Berlin Historical Society. Susan Forrey will make sure Leslie receives the books. Dr Drawbaugh would also like to donate the cane the members gave him from the Spahr Springhouse/Distillery project. He would like to see it hang above the doorway in the building. The Society would like to thank Dr Drawbaugh for his donation of the very clean, polished, waxed, de-barked, in better shape then we gave him cane. A diploma from Ida Zinn dated April 25 1925 from the school in Weigelstown was donated to the Society by Ronald Henry who purchased it at sale.  Phyllis Wolgamuth donated two milk strainers from the Bill Gerber farm on Davidsburg Road. Dr Drawbaugh asked for volunteers to assist the Archives Department in accepting donated items. Robert Rauhauser, David Laird and Dr Drawbaugh volunteered for the position. Jean Myers wanted to have the items she donated appraised. Dr Drawbaugh and Susan Forrey will follow up on Jeans request.

-Assistant Archives Gayle Heagy needed information to make the Archives List complete.  Most of the blanks were filled in at the meeting. The wood stove that Sue Zirkle donated to the Society will be picked up at her house on West Canal Road on Sunday January 18 around 1pm and taken to the Borough Warehouse for temporary storage. A picture of Dover School bus drivers was donated to the Archives from David Laird.

-Web Report – Susan Forrey told the attending members of the new e-mil address for the Society. The new e-mail address is doverhistory@gdhspa.org.

OLD BUSINESS:

-The safe belonging to the Jacob Joner Society needs to be moved to the Dover Township Building as soon as possible.

NEW BUSINESS:

-Refreshment Committee Volunteers for 2004 are – Norma Botterbusch, Doris Burger and Grace Trimmer.

-Members were asked if they wished to volunteer for the Our Town Characters Project.

Members would pick names from the list of Dover residents that they would like to interview. A member who knows the person to be interviewed would accompany the interviewer. A personal and family history would then be written and recorded of the resident to be posted on our website. A class will be held in the near future for those interested in this project. At the meeting the following members expressed an interest in attending the class: Gayle Heagy, Madelyn Shermeyer, Joyce Law and Ron Botterbusch.
