G.D.H.S. MEETING MINUTES                                 January 19, 2006

 

-6:30 – Board of directors meeting was held

-7:30p.m. President Ron Botterbusch called the regular business meeting to order 

-Lori Koch president of Dover Borough council swore in the officers for the 2006 term

 Those being sworn in were as follows:

 Ron Botterbusch – President,  Norma Botterbusch – Secretary ,  Robert Merkert – Treasurer,  Kay Stitley – Vice President ,  Archivist – Dr. Charles Drawbaugh,  Historian – Cindy Snyder,  Bookkeeper- Joyce Law, 

 Board of Directors – Jan Eisenhart ,  Gayle Heagy,  Madelyn Shermeyer,  Marty Green and June Kinsey.

 

-Ron Botterbusch asked if there were any corrections or additions to the minutes.  Motion to approve the minutes by Madelyn Shermeyer and Larry Law.  All members agreed.

-A motion was made to approve the budget for 2006 by Jeff Koch and Doris Burger.  There were no changes or additions, all board members agreed.

 

-Treasurers report by Robert Merkert for November and December 2005

 November income - $160.00 in dues, $35.27 in misc., .77 interest, 

 Expenses for November were 3 invoices for a total of $131.88.

 December there was no expenses.  Balance at beginning of 2005 was $5785.72

 $4947.31 was received during the year for a total of $10,733.03

 Expenses for the year were $8816.73, leaving a balance of $1916.30

 A motion to approve the minutes was made by Cindy Snyder and Lori Koch

 All members agreed.

-Board of director’s report by Madelyn Shermeyer- there was a discussion on the officer’s duties and job descriptions and what it would entail if there were changes made to the by-laws.  There was a draft handed out to the officers outlining their duties.

 There was a discussion about the Davidsburg Distillery and the Gerber Farm.  Madelyn said from now on what is discussed in a board meeting will be brought before the members.  It should have been done this way all along. 

-Ron Botterbusch asked Grace Snelbaker if she remembers any of her family putting the distillery on the registry.  She said no that they did not.

 -Archivist report by Dr. Charles Drawbaugh

 Delores Koch was school nurse for many years for the Dover Area School District.  She gave us some books for the archives,  they were “Mother Tom” book #2 – 1908,  “Essentials of Spelling” – 1919,  “Arithmetic” – 1909,  “Our Bodies and How We Live” – 1921,  “Geography #19”  - 1928,  “Beginners of American History” – 1920.

 She gave these books in memory of John Flohr who was her Grandfather.  John Flohr was a more modern farmer than we had at that time.

 U.S.Dept. of Ag. Put out a yearbook each year, He had the year books from 1930, 31, 32, 34, 36.  They were also donated with the other books mentioned above.

 Dr. Drawbaugh was real pleased to get these books from Delores and she may have more books for the Society.

 Dr. Drawbaugh also reported that Donald Baughman donated a Dover Band hat, a framed picture of The Dover Band, minutes of Dover Borough – 1933, minutes of Dover Borough 1905 and a register of Dover residents and addresses.

 

-Assitant Archivist – Gayle Heagy reported on the progress of the Intelligent Design scrapbook.  Cindy Snyder can get the transcripts of the trial on I.D. that was held in Harrisburg.

-Doris Burger just returned from Ohio and she will submit the articles that appeared in the papers in Ohio regarding Dover.

-Jeanette Fiortino – has a complete set of the Blood Root books that she will donate to the Archives.  Jean Harner has a stool that was used in the one room school house in Dover that she will donate to the society.   There was a postcard submitted “Looking North on Main St.”,  Ron Botterbusch bid on the post card at Mount Royal Auction and got it for $32.50,  than Ray Heller, proprietor of the auction house paid for the card and donated it to the archives.  There was a newspaper clipping from the York Dispatch picturing the Central League baseball champions from 1929 submitted by Jere & Loretta Stauffer.

There were certificates of elections for Robert Merkert, Ray Reiker, Sr., Robert Collins, Ralph Schrum, Olga Reiker (auditor) dated 1987, and these certificates were found in the basement of the Borough hall and given to the Society.  Gayle will also list the items that she gets for the archives on the website and the newsletter, so that the members know what was received from one month to the next.

-Madelyn Shermeyer reported on the Dover Township minutes for 1917-1995.  They have all been put on micro film.  These minutes were given to Gayle for the archives.  Some of these minutes may be put on a disc at a later date and Brett can put some of them on the website.

-Website report by Brett Pfleiger.  October and November minutes were put on the website, August newsletter was put on also, and Brett said he would be glad to put your genealogy on the website.  Joyce will type it up and submit it to Brett.

 Maddie asked if the picture of the Blacksmith shop could be changed on the website.  Joyce reported that the picture would change after the windows and doors are complete.  Ron will submit pictures and an article about the town clock;

-Historian Cindy Snyder had nothing to report at this time.

-Bloodroot – Madelyn Shermeyer reported that she spoke to Joe Marks.  Some of the expenses will be for spirals, nine cents each, 500 covers will be approximately $50.00.  There will be no cost for printing as long as we print 100-150 copies at one time,  If so , the printing can be done by laser,  the paper will be donated.

 A motion was made by Cindy Snyder to use the original cover that was on the first Bloodroot books, it was in color.  Bob Merkert seconds the motion, all members agreed.  A motion was made by Phyllis Wolgamuth to order 100 books.  We can re-order in fifties or hundreds.  Joyce seconds the motion and all members agreed.  Jay Stouch had a question concerning the Bloodroot books; he was not familiar with them.  Cindy Snyder explained to him that they were printed and written by the students in the Dover High School Oral History class under the direction of Mr. Paul Burdette.  There were 10 volumes.   (1976-1985). Maddie will place a statement on the first page of the first book to the effect that the books are being reprinted as original.  We may put addendum in the final book listing some of the mistakes that were in the original books.

-Blacksmith shop report by Larry Law.  It has been decided by the members to leave the forge as it is for now.  Smithy Ted Ziegler said he will be able to work around it as it is for now.  Ted will check on getting a stamp made that we can stamp the items that are made in the shop.  Ted will get us a price; he said approximate price may be around $100.00.  Ron told Ted to get a definite price.  We may use the letters G.D.H.S. – Dover, Pa.

-Quilt raffle reported by Doris Burger.  The quilt is almost finished and will be presented to the Society at the February meeting.  Norma Botterbusch reported that the tickets will be available at that meeting.

-Joyce Law reported that she needs the volunteer hours sheets by the February 16 meeting, so she can send the 990 to the state by March.

-Joyce Law is still transcribing the Stouch diaries.  She is working on 1874 diary. 

-Lucia Hyinyak is proofreading for Joyce.  Jay made a list of the most used Dover names; Brett will list them on the website.

-Norma reported that the January newsletter went out.  The next newsletter will go out approximately in April, she asked that anyone that has news please submit it to her.

-Ron reported that the town clock is back in the tower.  Ron talked to clockmaker Bob Desrochers last Thursday.  Bob reported that he rebuilt everything from the bottom of the clock on up to what he calls the transmission box.  That is the arms that go to the four clock faces.  Most likely in the spring he will rebuild the rest of that, and then the job will be complete.  Bob was very much honored to bring this great piece of history back to life.

-Joyce Law brought up the issue of getting a logo or when we might come up with one.  Cindy Snyder reported that one of the students designed a logo and she gave it to Susan Forry.  Cindy Snyder made a motion to use the blacksmith shop in the logo, Madelyn seconded the motion and all members agreed.

-Gayle had a display of painted flower pots with the names of flowers on them, she will use them to mark the location of flowers planted around the storage building.

-Lucia Hyinyak volunteered to bring refreshments to the next meeting.

-Larry Law made a motion to adjourn the meeting, Jan Eisenhart seconed the motion and all members agreed.

-Meeting adjourned.
