MEETING MINUTES October 20 2005
- 630pm Board of
Directors Meeting was held
- 730pm President Ron
Botterbusch brought the Second Annual Members Meeting to order.
- President Ron
introduced the Board of Directors Kay Stitley, Madelyn Shermeyer, Gayle
Heagy, Randy Worley and Jan Eisenhart
- President Ron
introduced the Officers Vice President Kay Stitley, Secretary Susan
Forrey, Treasurer Bob Merkert, Historian Norma Botterbusch and Archivist
Dr. Charles Drawbaugh
- President Ron
introduced the Executive Staff Assistant Archivist Gayle Heagy and
Bookkeeper Joyce Law
- Board member Madelyn
hi-lighted the Board meetings that were held this year [see attached copy
of her speech]
- Secretary read the
minutes from the September 15 2005 meeting. Treasurer Bob Merkert amended
the Capitol Storage invoice by deleting the sales tax charged. The total
invoice paid was $248.40. Motion to approve the minutes by Betty
Klinedinst and Larry Law. All members agreed.
- Treasurer Bob Merkert
gave his financial report. Motion
to approve made by Jan Eisenhart and Wayne Slothower. All members agreed.
Mrs. Shermeyer reminded the members that no approval is needed for
invoices or bills that have had prior Board approval as long as the dollar
figure does not go over the amount in the budget set by the Board.
- Archivist Dr. Drawbaugh
told the members that 133 donations have been made to the Archives since
January 2002 and wondered why more items have not been donated. He thanked Gayle Heagy and Madelyn
Shermeyer for their help with the Archive items. He also noted that no
items that have been donated have been returned. Dr. Drawbaugh then stated
some problems that he needs to address concerning the Archives department
need to focus more on the Archives; the lack of storage space; need more
room to work; Archives needs a separate room; items being stored at
various locations; the shed at the park is not an archival building it
is not secure and lacks temperature control equipment and therefore cannot
be used as an Archives; more skilled help and workers need to volunteer to
help preserve items in the Archives. On the positive side, he stated Mrs.
Heagy and he were working on collecting articles concerning the
Intelligent Design issue.
- Assistant Archivist
Gayle Heagy told the members she received three items for the Archives
1899 Dover Township Tax Book that Joyce is recording; a photo of Dover
area World War I soldiers and Dr. Drawbaugh donated his 250th
Anniversary of Dover Township hat. Gayle stated the Intelligent Design
issue is not of historic interest now but will be years from now.
- Web master Brett
Pfleiger reported that a small amount of people contribute to the web site
and would like to see more contributors. He then showed a copy of the
front page of our web site and then continued with what articles were
submitted to him for inclusion on the website. To date the Education and
Kids page has yet to be started. He talked about why we changed web hosts
in 2005. West Manchester Historical Society will join us on the web host
and our organizations will split the cost of the website.
Question by June Kinsey. Why was she not able to
bring up the picture of the Quilters on the website. Brett will investigate.
- Norma Botterbusch our
Historian described her duties as Society Historian and talked about the
scrapbooks that are filled with Society information. She noted the four
scrapbooks were at the back table.
- President Ron if there
were any questions so far? Larry Law stated there was an auction at
Springettsbury Fire Hall and a book about the Dover Trolley was advertised
for the sale. He did not purchase the book but it was determined to
contact Barry Armold concerning the book.
- 820pm ten minute
break called by President Ron Botterbusch
- 838pm meeting was
reconvened. At this time, the members introduced themselves.
- Norma Botterbusch told
the members that Mary Bear of York won the quilt coverlet. She purchased
her tickets from Doris Burger while in church. There were 1,025 quilt tickets
sold. The 2006 quilt raffle will go on sale January 2006 and the winning
ticket will be pulled at the 2006 Dover carnival. Norma stated we still
have trash bags available for sale - $4.00 for 25 bags and $30.00 a case
[200 bags]. Norma stated that the carnival is not a monetary project but
an educational project. Nineteen
members volunteered their time at the carnival with 300 volunteer carnival
hours. We received $435.00 and there were seven donations.
- Joyce Law spoke about
the Stouch Diaries. Years 1865 to 1871 have been transcribed. Year 1872 is
started and now Larry needs to finish the index. The Dover Township Road
Tax records for 1900 and 1901 are transcribed. Some books are missing. The
reason given was books were kept in a chicken coup.
- Susan updated the
members concerning the Blacksmith shop. On October 15, members enclosed
the rest of the building and installed the front and side door. Later that
day the windows were boarded up for security during the winter. The floor
was made level for the crusher waste that was added to get ready for the
floor. KTs Pizza donated pizzas to the volunteers for lunch. The
volunteers worked 2.5 days or 20 hours on the project in 2005.
- Kay Stitley spoke about
the 2005 Historical Borough Walk held in June. Forty people attended the
walk and we had good weather. In April, Kay took the third graders on the
tour and it rained. On Parents Night at school, a number of parents were
concerned the Walking tour would end because Mrs. Brown, the teacher
instrumental in getting the walk started, retired. Kay told the parents,
the walk will continue. Kay also informed the members she is working with
first-grade Boy Scouts about the history of Dover. Tuesday, June 20, 2006,
is the next Walking Tour.
- Gayle Heagy told the
members that she could not give a report concerning the Borough Homes
Project because she had nothing to report because all the volunteers were
working on the Blacksmith Shop. She will resume the project.
- Susan informed the
members the volunteer hours for 2003 were 3248 and in the year 2004, the
hours were 7883. There are 162 active members. Susan also wanted the
members to know how pleased Ken Brown was with our volunteers. They worked
and did what they were asked and many of the members learned how to hammer
as well as other jobs.
- Lucia Hrinyak told the
members the Archive Landscape Project started on May 3 and ended October
13 with the mulching. Six members volunteered 86 hours and there were many
donations from members as well as local nurseries and companies. She
thanked the volunteers for their help in digging, tilling, moving dirt,
fertilizing, planting and mulching.
- Madelyn told the
members that the Bloodroot Book is in the computer at York Vo-Tech and we
will get to see some sample pages soon.
President Ron asked if there were any questions at
this time.
- Madelyn Shermeyer
showed the attending members a board that she whitewashed with a pickling
stain and stated the original Blacksmith Shop looked like this. Some
members agreed with the white wash effect. Should the building be
preserved first then pickled? Need an answer.
- Madelyn stated the
last side of the Blacksmith Shop was done in hemlock and does not match
the other three sides of the building. She would like to use stain to
bring the colors together. Boiled walnut shells were discussed but Maddie
suggested Minwax Stain.
- Madelyn spoke about
the Township Meeting Minutes. The Board of Supervisors had them
microfilmed and then scanned to a CD. They are looking for a grant to
make them available to the public.
- Madelyn suggested as a
fundraiser for the Society calendars that had old pictures of Dover.
- Board member Madelyn
explained why five members were not going to be elected to the Board at
this time. The even year Board members are Madelyn Shermeyer, Gayle Heagy
and Jan Eisenhart. The odd year Board Members are Randy Worley and Kay
Stitley.
Note from the Secretary April 1 2003 a meeting
concerning the Blacksmith Shop was held at the Borough Office. As of April 2003
Gayle Heagy, Madelyn Shermeyer, Jan Eisenhart, Phyllis Wolf and Don Baughman
were Board members. August 28 2003 was the first official Board meeting.
Present were: Madelyn Shermeyer, Jan Eisenhart, Kay Stitley and Gayle Heagy.
Don Baughman was absent. September 23, 2003 Randy Worley was inducted as a
Board member.
After some discussion it was determined
that we did not need to flip-flop any Board members or years because Board
members Randy Worley and Kay Stitley were removing their names from nomination.
- Board Member Madelyn
Shermeyer presented to the attending members a proposal, voted upon and
accepted by four of the five Board members [Accepting the proposal were
Madelyn Shermeyer, Kay Stitley, Randy Worley and Gayle Heagy with Jan
Eisenhart opposing]. The proposal is as follows: three monthly meetings
must be attended by members to vote on the November ballot. In order to
change the By-laws, a letter must be sent to all members 10 days before
the next scheduled meeting. If they want to vote, they must come to the
November meeting to do so. Three members asked some questions but in the
end a letter is to be sent to all members. [Note -no vote was taken].
